Booking Conditions

It is important that you read all information carefully and ensure that you understand and accept the conditions outlined before proceeding with your booking.


Products and prices are subject to change without notice. All GOLFMAX HOLIDAYS prices are valid, unless superseded or otherwise indicated, from January 2013 to December 2013 (New Zealand), or 1 April 2013 to 31 March 2014 (Thailand, Vietnam, Cambodia, Laos).

Delivery of Travel Documents

For most destinations, including New Zealand, travel documents are given directly to you in Australia. However, some countries do exchange documents on arrival or check-in.

General Information and Booking Conditions

All reservations are subject to availability. Verbal quotes are regarded as an estimate ands prices are only confirmed with a written quote. All written quotes are valid for 7 days from date of issue.

Specific Booking Conditions for Car Rental

Car rental featured within this brochure is utilizing Hertz, Budget and Avis Car Rental (New Zealand). Prices shown are per car, per day or per week, unless otherwise stated. Whilst a make and model is stated with the description, we cannot guarantee the specific make or model and any vehicle within the category booked will be supplied.

In the event that the vehicle category booked is unavailable at the time of collection, you will receive an upgrade to the next higher category at no additional cost.

Please choose your vehicle carefully, ensuring the category booked will meet your specific requirements – allowing for passengers and baggage. If you decide to change your car group at the time of collection, then the additional charge will be levied by the car rental company, in local currency and at local rental rates, which are often considerably more expensive that the rates available to you from GOLFMAX HOLIDAYS in Australia.

Additional information and specific conditions including cancellation policy, will be made available if requested by GOLFMAX HOLIDAYS, together with final documentation (i.e. vouchers). A credit card with sufficient funds to cover car insurance excess must be provide to the car rental company.

Collision Damage Waiver (CDW) - is not an insurance, but it waivers/reduces the hirer’s responsibility for damage to the vehicle.

Personal Accident Insurance (PAI) - is included where stated, or offered as an additional insurance – check your own insurance policy before taking additional insurance, as you may already be covered.

Collection of your vehicle - A credit card imprint or cash deposit is required upon collection of your vehicle. You must produce a full drivers licence (which must have been held by the driver for a minimum of 1 year).

You are liable for any charges incurred in the late delivery of your vehicle (24 hour clock operates). No refunds are payable should you deliver your vehicle before the specified time. Your vehicle is required to have a full petrol tank at the time of drop off, otherwise Avis will levy any fuel charges to your credit card, or deduct from your deposit.

Conditions apply to the minimum age requirements, one way drop off fees, additional driver fees, child restraints and vary between countries.

No refunds are allowed for any unused car hire days.


A minimum deposit of 50% of the total package cost (Thailand, Vietnam, Cambodia, Dubai, Abu Dhabi) and $500 per person (New Zealand) is payable within 7 days, on confirmation of booking. This payment must be made through your local Travel Agent or GOLFMAX HOLIDAYS to secure the required arrangements. A further deposit may be required for bookings falling over the Christmas period or otherwise stated.


The balance (or final payment) is due in full 65 days prior to departure. Bookings made within this period must be fully paid upon confirmation.

Price Guarantee On Full Payment

Prices in this brochure are based on costs and exchange rates at 01 January, 2013. Should these costs change it may be necessary to make a surcharge on the price of your holiday which will be advised to you at the time you book. However no surcharge in respect to cost or currency fluctuations will be made to the arrangements of your holiday once full payment has been received by GOLFMAX HOLIDAYS, unless any changes are made to your booking in accordance with these terms and conditions. This price guarantee does not apply to: (i) fares, charges or levies imposed by airlines up until ticketing; or (ii) any taxes, charges or levies imposed by any government or their agencies.

Late Bookings

GOLFMAX HOLIDAYS reserves the right to charge a late booking fee of $50 on all bookings made inside 30 days of departure. In addition, a credit card number must be provided to GOLFMAX HOLIDAYS to guarantee against changes and cancellation fees. This needs to take place before any late booking can be made. Courier fees will be at the expense of the client. A credit card guarantee will be required if booking is made within 65 days of departure.

Consumer Claims

Should you encounter any problems on your holiday it is always better to try and solve it directly with the supplier. If it is not possible to do so and you wish to lodge a complaint please do so in writing within 30 days of completing your GOLFMAX HOLIDAYS arrangements.

Cancellation Fees

Thailand, Vietnam, Cambodia - A cancellation made outside of 65 days prior to departure will incur a fee of $150 per person plus any charges levied by local operators. A cancellation made within 65 days of departure may or will incur a 100% cancellation fee of the total booking amount.

New Zealand - A cancellation made outside of 45 days prior to departure will incur a minimum fee of $150 per person plus any changes levied by local operators. A cancellation made within 45 days of departure will incur a 100% cancellation fee of the total booking amount. Earlybird specials (car hire) are non refundable once paid for in full.

Any refunds due cannot be processed until the relevant funds have been returned by suppliers to GOLFMAX HOLIDAYS. Insurance covering cancellation is strongly advised as cancellation penalties are strict.

Refunds will not be given for unused services.


A minimum amendment fee of $50 per change to confirmed arrangements. Within 45 days (New Zealand) or 65 days (Thailand, Vietnam, Cambodia, Laos) of departure the cancellation conditions will apply in full.

Credit Card Charges

A 1.5% (Mastercard, Visa) or 3% (American Express) merchant fee will be added if a credit card is used for payment. If cancellations are made, the merchant fee will not be refunded.

Not Included in Costs of Holidays or Services

Cost of passports, visas where required, items not specified as being included, airport taxes where applicable, laundry, road tolls, telephone calls, meals (unless specified), gratuities and any other item of a personal nature. Transportation to and from Australia.

Acceptance of Bookings

Bookings are accepted subject to the services or accommodation applied for being available. GOLFMAX HOLIDAYS and/or its agents reserve the right, without notice, to modify, cancel or withdraw any or all of the arrangements and in this event the full amounts paid will be returned to the customer, and upon rendering the same, all liability of GOLFMAX HOLIDAYS and/or its agents in respect thereof shall cease. GOLFMAX HOLIDAYS and/or its agents reserve the right to decline to accept or retain any person as a member of any party at any time. Bookings with Carriers are also subject to the Carriers’ terms and conditions as printed or referred to in their tickets and/or timetables and/or regulations.

Passports and Visas

It is your responsibility to arrange all necessary passports and visas. Your Travel Agent or GOLFMAX HOLIDAYS will be happy to advise you on this important point. Please make sure that these are in order before travelling.


Luggage, including personal articles, is at all times and in all circumstances at owners’ risk except to the extent of any insurance purchased by the customer.


It is advisable for everyone undertaking these tours and services to insure themselves against medical expenses, personal accident, loss of deposit and cancellation fees, and also their baggage against damage, loss, theft, etc. Your Travel Agent and GOLFMAX HOLIDAYS will gladly advise you on an inexpensive insurance scheme.

Hotel Descriptions And Photographs

Hotel and facility descriptions featured in this brochure are based on current hotel guides and information provided by suppliers and may change at any time. Pictures may not show the particular room, décor, view or other specifications included in your booking.

Website Accuracy

Whilst every effort is made on the accuracy of this website, GOLFMAX HOLIDAYS cannot be held responsible for any errors or omissions occurring in the production or changes to hotel facilities or amenities as specified, during the validity of the program. Care will be taken however, to ensure that your travel agent is updated on any major changes that could affect the enjoyment of your holiday. Photographs are supplied by the hotels - decoration, fixtures and fittings may vary from those shown within this website.


Where meals are included, ie breakfast, menus are available from the hotel’s set menu and not from the A la Carte menu. No refunds for unused menu services.


GOLFMAX HOLIDAYS and/or its associated Companies or Agents give notice that they act as Booking Agents only for the persons or companies providing or offering the means of travel, conveyance, transport, accommodation or other services and all receipts, tickets, vouchers, coupons or exchange orders are issued subject to the terms and conditions under which transportation and other services are provided.

GOLFMAX HOLIDAYS shall not be liable for any injury, damage, loss, accident, delay or irregularity that may be caused to person or property however caused or arising, during any tour under its management, sponsorship, procurement or otherwise, not withstanding that the Company’s principal may be a foreign Company, corporation or person.

So far as the Company shall not be acting as such Booking Agent it shall be deemed to be acting as Agent for the person making the booking. It is the responsibility of the passenger to ensure that they are in possession of the proper travel documents and that they are in compliance with the current government and Transportation companies’ regulations.

The right is reserved to modify the itinerary in any way considered necessary or desirable or to change any reservation, and/or means of conveyance, without notice and for any reason whatsoever and without allowance or refund but the extra cost, if any, resulting there from must be paid by the passenger. The right is also reserved to cancel or withdraw any tour, or any booking made for a passenger, or to decline to accept or retain any person as a member of a tour for any reason whatsoever.

No refunds can be made in respect of accommodation and meals not utilised and under no circumstances can refunds be made for tours and sightseeing excursions not undertaken. Transportation companies or firms shall be exempt from all liability in respect of any detention, delay, loss, damage, sickness or injury however and by whom so ever caused and of whatever kind occurring of or to the passenger at any time when the passenger is not on board a carrier or conveyance used or operated by the transportation companies or firms.

Passage contracts in use by the transportation companies or firms concerned shall constitute the sole contract between the transportation companies or firms and the purchaser of these tours and/or passengers. All fares are subject to change without notice. The issuance and acceptance of receipts, tickets, vouchers coupons or exchange orders shall be deemed consent to the above conditions.
